We are looking for a Executive Assistant to act as the right hand to our Founder, handling much of the day-to-day administration and management associated with the chief executive role and enabling the CEO to focus on vision, strategy, creative, and public relations. 

DUTIES & ESSENTIAL JOB FUNCTIONS

  • Manage calendar and scheduling travel arrangements.
  • Track and follow up on urgent and pending issues.
  • Record detailed meeting notes/minutes and send follow-up action plans
  • Coordinate special projects and events. Contribute to company culture and maintain great employee relationships.
  • Process expense reports as needed.
  • Assist in preparation of correspondence to clients on behalf of the CEO.
  • Create and maintain databases, spreadsheets as needed.
  • Monitor and process payments to suppliers and others.

SKILLS & PREREQUISITES

  • Proficient Microsoft Office skills, specifically Word, PowerPoint, Excel, and Outlook.
  • Excellent interpersonal and communication skills.
  • Outstanding organizational skills.
  • Must possess the ability to maintain confidentiality at the highest level.
  • Strong writing/proofreading skills.
  • A polished self-starter with excellent customer service qualities and a “can-do” attitude with the ability to shift gears comfortably; to manage ever changing priorities; deal with ambiguity and conflicting priorities; and to do what it takes to get the job done.
  • Ability to maintain a calm, professional demeanor in a startup environment with shifting priorities and periods of pressure. Handles pressure gracefully.
  • Objective driven, rational, persistent
  • Flexibility and willingness to be contacted and work outside usual operational hours, as needed.
  • Willing to travel, as needed
